Kipling House Barn Terms & Conditions
As the lead guest you are responsible for all the people in your party staying at Kipling House Barn.
Please carefully read the terms and conditions detailed below as you are accepting that you are aware and agree to all the information and take full responsibility for your entire group or party.
The number of people occupying the premises shall not exceed the number stated on the booking form. Breach of this rule will terminate the contract without recompense.
In these Booking Terms, “guest”, “lead guest”, “you” and “your” means the person named on the booking confirmation and other communications and all other persons staying at the property during the rental period. “us” and “our” relate to Kipling House Barn and its management team. All reservations are made subject to these Booking Terms.
We recommend you share these T&Cs with all responsible adults in your group so the liability does not become too onerous on the lead guest.
Exceptions
Kipling House Barn is situated on a working farm that is home to two families, so we regret that we cannot accept bookings from stag parties, unless prior approval is sought.
We reserve the right to refuse any booking, however you will be fully reimbursed if monies have already been paid.
Duration
Kipling House Barn offers various combinations of length of stay and start day. Please refer to the booking form for more information.
Minimum stay 2 nights.
Availability, Reservations and Payment
- Please see the Availability Chart to check whether Kipling House Barn is currently available for your preferred dates. These are subject to change and so must be confirmed with the owner.
- All prices are in Pounds GB. The rent is fully inclusive of VAT, heating, electricity, bed linen, duvets, towels, tea towels, kitchen utensils and basic cleaning equipment. Two travel cots are available on request free of charge – these should be booked in advance. Prices are subject to change.
- If your party exceeds more than 19 adults and/or children then you will require a sofa bed. An additional charge of £20 will be charged per sofa bed required. One sofa bed is a single and one is a double for reference.
- The party leader must be 18 years at the time of booking and the booking form must list names, addresses and ages of your party.
- To confirm a reservation, we ask for a non-returnable deposit of 25% of the total price for your holiday. We will send a confirmation email on receipt of this deposit being sent. Your data is also securely dealt with under GDPR rules.
- Reservations within eight weeks of the start of the rental period require full payment at the time of booking.
- The balance must be paid no less than eight weeks before the start date of your holiday. If payment is not received, we reserve the right to treat this as a cancellation. We shall, however, send a reminder.
Cancellations
If you cancel 8 weeks or more prior to your trip, the cancellation charge is your total 25% deposit. If you cancel 8 weeks or less (including for medical and weather reasons), the cancellation charge is 100% of total contract value if we are unable to relet the property for your selected dates. If we are able to relet the premises for your selected dates we will only charge you a cancellation fee of £200 in relation to the costs incurred by ourselves.

Refunds will be processed in the original form of payment. If you have any questions about our cancellation policy, please call 07969 252572.
In event of a pandemic and there is a National or Local lock-down we will refund your trip. Please bear in mind that in the event that the address given on the booking is put into Local/Regional Lockdown, rendering you unable to travel, and the period of restriction covers the period of your booking, you will receive a full refund. Please note that this applies only to the address given on the booking by the lead booker, and does not apply if an unidentified party member at a different address is unable to travel due to local lockdown.
We will not refund your inability (or the inability of any, some or all of your intended occupants) or disinclination to travel to and stay at Kipling House Barn for any reason. This includes – but is not limited to – illness (including Covid), a requirement or recommendation to self-isolate or quarantine, a call to jury duty, incarceration, change in personal or work circumstances, family emergencies, travel delays, vehicle breakdown, and delays with public transport. These remain at your risk and do not give rise to a right to cancel or to receive a refund unless we re-let the property. You are strongly recommended to take out UK travel insurance to cover these eventualities. If you choose not to take out UK travel insurance then you accept responsibility for any loss that you may incur due to your cancellation.
Any refund will incur a charge of £200 to cover the administration costs.
Insurance
We advise comprehensive travel insurance to be taken out at the time of booking, which should include cancellation cover, full cover for the tenant’s personal belongings and public liability as the owner’s insurance does not cover these items.
Damages Deposit
A refundable damages deposit of £700 is due in addition of the final payment. We aim to return this damage deposit to yourselves within 7 days of your departure date less the cost of any damages. If damages have occurred, we may have to hold onto the deposit for longer than 7 days to give us time to receive quotes for materials and trades. We also need your cooperation in returning the damage deposit to yourselves. If you have not received any contact about your deposit or received a receipt within 7 days please email info@kiplinghousebarn.co.uk.
The definition of the damages includes but is not limited to; structural damage including dents to walls, floors and ceilings; damage to paintwork, upholstery and joinery; damage to the gardens and farmyard including damage to the hot tub; missing items and broken crockery and glassware; damage to linen, towels and furniture including kitchen appliances and electricals; our time and the charge for tradesmen to rectify the damages.
Some wear and tear will be accounted for, but excessive and careless damage will be taken from the damage deposit.
Liabilities
We (the owner) are not liable to you (the tenant) for:
- Any faults or interruption to the supply of public services
- Any loss, damage or inconvenience caused to or suffered as a result of weather conditions, riots, wars, strikes or other matters beyond their control.
- Any loss, damage or inconvenience suffered if the holiday property becomes uninhabitable before the start of the rental period. In this unfortunate event a full rental refund will be made. No further liability will be accepted by the owner.
- The tenants and all visitors do so entirely at their own risk. No responsibility will be accepted for injury, loss or damage to property including personal belongings, vehicles and their contents.
- You agree to supervise children (aged 18 and under) at all times and note that no access is permitted into the farmyard unless under the supervision of a member of the Kipling House Barn team. You as lead guest are responsible for all under 18s in your group.
- You as lead guest are responsible for your dog/s.
Arrival and Departure
- Kipling House Barn will be ready to occupy from 4pm on the day of arrival.
- Properties must be vacated by 10am on the day of departure and left in a clean and tidy state. Sunday check out time is 2pm.
- Hot tubs must be vacated by 8am on the day of checkout and may not be useable until 8am the following day, this is subject to the departure time of the previous guests.
Pets
A maximum of three dogs or pets are welcome by arrangement, subject to a £20 charge per day. We only allow three dogs, and only when they been booked in and paid for, no puppies please. The dogs must be well behaved, house-trained, kept under proper control and not allowed on the furniture. Dogs are allowed on the ground floor but not on the 1st floor. We have a stairgate which we can install free of charge – please just include this on your booking form.
Dogs are not to be left unattended in the property. Dog waste must be collected and disposed of. Dog owners will be held responsible for any damage caused to the property, contents or garden by their dog and for any extra cleaning required. When out walking on the farm you must ensure that dogs are kept under close supervision. They must not be allowed to disturb livestock, deer or game birds. We reserve the right to seek details of any dogs in advance and to refuse permission for them to be brought to the accommodation for any reason, including if they are considered unsuitable in character, size or behaviour.
Unfortunately we cannot allow any dogs which are deemed dangerous and are banned as per UK Government Guidance and DEFRA.
Please note that while the courtyard and parking area that is yours to enjoy privately as part of your stay, is quite secure, there are small gaps at the entrance gates which small breeds will be able to fit through (chihuahuas and terriers for example). It is your responsibility to have control and be aware of your dog at all times.
Pets must not be permitted to cause any damage to the property or gardens nor bark or cause any other kind of nuisance to neighbours. On departure excess pet hairs and paw marks/soiling to floors, skirting boards, etc. should be removed. Any exceptional cleaning costs incurred by the Owner in order to reinstate the property to the clean condition it was in at the start of the rental period will be charged to the guest, this includes removal of faeces from the grounds so a final check before departure is strongly advised.
Smoking Policy
For the comfort of all of our guests, smoking and vaping is not permitted inside Kipling House Barn. Smoking is permitted in the courtyard, but not in the vicinity of the hot tub area or any entrance doors. All butts must be removed from the property. There are two ashtrays located in the kitchen which we advise you to use.
Allergens
Our bedding is feather free and if any guest has any specific allergies these must be noted on the booking form.
Accessibility
The ground floor rooms at Kipling House Barn are accessible. Room 6 is a designated accessible bedroom with fully accessible ensuite. An Accessibility Guide is available on demand.
Security
A CCTV system is in operation at Kipling House Barn, for our guests’ security and peace of mind.
WiFi
There is free WiFi throughout the properties, however this facility cannot be guaranteed to be available at all times due to the unpredictability of Service Providers. Guests must agree not to use the broadband connection provided for any unlawful purpose.
Hot Tub Disclaimer
As the lead guest you are responsible for all the people in your party staying at Kipling House Barn. You are accepting that you are aware and agree to this information. A copy of the rules and advice for using the Hot Tub will be available in your guest welcome folder, and sent separately with your receipts on booking – you must abide by these rules and we accept no responsibility for any injuries or accidents incurred by yourselves.
Disclaimer
The Owner has taken every care to ensure the accuracy of property descriptions and all information is provided in good faith and believed to be correct. In the event that any individual term or clause stated in this Contract is not permissible by law, the remainder of the Contract shall remain valid. This Contract is governed by and construed in accordance with UK Law. This does not affect your statutory rights.
Complaints
We have made every effort to ensure that you have an enjoyable stay. If you have any problems or cause for complaint, please call us immediately on 07969 252572 to give us the chance to resolve it. We value your custom and want you to enjoy your stay, rebook and tell your friends, so please raise any issues before you leave.
GDPR
Your data is securely dealt with under GDPR rules.
Period of Hire
The rental period commences and ends at the agreed time between yourself and Kipling House Barn. This is typically check-in after 4pm and check-out at 10am on the day of departure, unless other terms have been agreed in advance. These times must be respected in order for us to ensure our full service standards can be adhered to. Please be aware that the whole property has to be cleaned and prepared during a limited changeover period and maintenance issues resolved too, which can easily take many hours, unlike a hotel bedroom.
No parties are permitted to be held within the house or grounds of the property.
Care of the Property
The Owner reserves the right to charge the guest for the cost of repairing any damage and/or replacing damaged items caused by the Customer or their party during the stay. The property is required to be left in a clean and tidy condition, as the guest found it on arrival. If any exceptional cleaning is necessary, the Owner will charge the guest direct and legal action will be taken in the event of non payment.
The Customer must ensure that nothing happens which may be a nuisance or inconvenience to occupiers of neighbouring properties or adversely affect the insurance of the property.
The guest must not enter the farmyard, unless prior permission has been granted by the Owners of the property.
Please no fireworks or fires for the safety and consideration of your neighbours – and livestock!
Noise
We respectfully request that due consideration is shown to the inhabitants of neighbouring properties and noise is kept to a minimum at all times, particularly after 10pm or in the early morning. The neighbouring properties are inhabited by families.
Right of Access
The Owner of the property shall be allowed the right of entry to the property at all reasonable times during the guests stay for the purpose of inspection, delivering or collecting an item, in an emergency or in relation to any necessary cleaning, repairs or maintenance. However, we will seek to minimise any disruption to the guest in this event.
Use of Complimentary Toiletries and Cleaning Materials Provided in the Property
Some complimentary toiletries are provided in the properties however whilst every effort has been made to ensure they are hypoallergenic, use of these items is at the guests’ own risk and no responsibility will be accepted for any adverse reaction. Guests are advised to test on a small patch of skin before use. The use of cleaning materials supplied in the property is also at the guests own risk.
